These are the most commonly asked questions about tax forms at UBC. If you have a question that you can't find the answer to, please contact the Customer Support Centre.

I am an employee, when and how will I receive my T4/T4A?

Tax forms for employees are available online through the Faculty and Staff Self-Service portal. View more information on your taxes and for instructions on accessing your tax slips online.

Tax forms will be available by the end of February. Come back and check our website's announcement section later in February. 

Will I receive a T4A and when are they available?

UBC issues T4As to our suppliers annually, the forms will be issued and mailed by the end of February.

UBC will issue a T4A to a person if:

  • The total taxable amounts paid in the calendar year exceeds $500
  • Most T4As issued by UBC are for payments in these categories:
    • Payments for services
    • Professional fees
    • Honoraria
    • Tokens of appreciation
    • Prizes
    • Scholarships and bursaries
  • The payee resides in Canada and the services were provided in Canada
  • The payee is not a corporation or partnership
  • The payee is not registered under a GST or Business Number

Will I receive a T5 and when are they available?

A T5 slip identifies the investment income that residents of Canada have to report on their income tax and benefit returns.

The most common reason for UBC to issue a T5 form is for royalties for intellectual property such as:

  • Inventions
  • Commercialized research discoveries
  • Written works such as textbooks or novels

Royalties at UBC are administered by the University-Industry Liaison Office, UBC Press, and UBC Bookstore. T5s are issued and mailed each year by the end of February.

What is my T4A/T5 for?

You will need to be able to confirm your identity by providing

  • Full legal name
  • Complete mailing address
  • Last 3 digits of Social Insurance Number

Can my T4A/T5 be re-sent?

Yes, if you would like us to re-send your tax form we can email you a new copy. Contact us at finops.support@ubc.ca or 604-827-1818.

You will need to be able to confirm your identity by providing

  • Full legal name
  • Complete mailing address
  • Last 3 digits of Social Insurance Number
Can the information on my T4A/T5 be adjusted?

If the information that UBC has on file for you or your company is out of date you can learn more about our vendor information update process.

It is not necessary to update the T4A if your address has changed or needs updating.

If the amount UBC recorded as paid to you or your business does not match up with what you expected contact Customer Support.

To review transactions you will need to be able to confirm your identity by providing

  • Full legal name
  • Complete mailing address
  • Last 3 digits of Social Insurance Number
When is a T4A-NR issued and when does withholding tax apply?

UBC will issue a T4A-NR to

  • Non-residents that are paid for services rendered in Canada
  • Non-residents who are reimbursed for travel expenses

Withholding tax applies to the payments to non-residents for services rendered in Canada.

UBC is required by the CRA to withhold 15% of the gross amount of the payment. The withheld amount is remitted to the CRA. Non-residents may be eligible to have the withholding waived if they meet the criteria set by the CRA.

The T4A-NR tax form is issued at the time that payment is made.
