Changes to Print Services at UBC

Xerox is currently UBC’s preferred supplier of printing services, but the university’s master service agreement with this vendor is due to expire in March 2020.

The contract currently covers the university’s use of multi-functional print devices (including leasing and maintenance), as well as print production services through the Xerox Print Shop located in Wesbrook Village.  

In order to bridge any gap in service we are extending the agreement by 15 months, while the Strategic Sourcing team in Financial Operations explores the best possible options for print solutions at UBC through a formal sourcing process. A cross-functional working group for this project will be initiated including members from faculty and administrative units across the UBC community. Robust contract governance as well as service and relationship management for users will be a key outcome of the project, to ensure that we maintain service and value.

Strategic Sourcing at UBC aims to secure the best quality and service from our suppliers for our campus community by leveraging UBC’s buying power.  We are advising users to avoid committing to new leases on multi-functional print devices while we explore UBC’s options, so that they can benefit from the new agreement, which will be in place after the sourcing process has been completed.

While the university works on this process, we are advising users to proceed as follows:

  • If users have a Xerox or Ricoh multi-functional print device (e.g. large printer or copier) with an expired lease or a lease that is due to expire before June 30, 2021 they are advised to continue the existing lease during the interim period. Strategic Sourcing has negotiated a reduced lease rate and will be in touch with this user group directly, with further details.
  • If users require a new multi-functional print device, or an upgrade of existing Xerox or Ricoh equipment with an expired lease (due to malfunction), please contact Irene Korinetz at to discuss options during the agreement extension period.
  • Users of the Xerox Print Shop are advised that there will be no interruption in service during this period.
